Bookings
Interested in making a booking? The following information will be helpful for you to consider as you plan. This information will also be sent to you in hardcopy once you make a booking.
BOOKING CONDITIONS
1. Group Safety: The group agrees to use the activities at KVCC strictly in accordance with KVCC rules for activities which it has received and read, and accepts full responsibility for any accident or injury resulting from non-compliance with such rules. The group acknowledges that there are number of dangers at camp (river, creeks, animals etc) and accepts full responsibility for the supervision of all children while at camp so as to minimise their exposure to such dangers.
2. Cost to replace breakages (e.g. arrows, cups, plates, etc.) excluding normal wear and tear, may be added to your account, also the cost of air rifle ammunition used.
3. First Aid: We request that each group provide their own first aid requirements.
4. Deposits are non refundable unless more than 90 days notice (excluding school holidays) is given.
5. Fees: The group understands that once this contract has been signed and returned to KVCC, it is obligated and held responsible for full payment of the minimum guaranteed reservations and may be billed accordingly. The final bill is payable prior to departure on the last day of camp and will include the minimum fees as calculated above, the fees for any extra attendees, any other charges incurred and any cleaning surcharges applicable.
6. Quoted Price: Subject to change only if there is a significant increase to KVCC by our suppliers (eg Food, Buses). Notification will be in writing ASAP. There will be no increase within 3 months of your camp.
CHARGES
Please contact us with numbers, dates, dietary needs, and any special requirements that might affect prices, and we will supply you with a quote.
Special requirements might be: tours, buses, abseiling, etc.

IMPORTANT
To assist with food ordering, meal planning and staff availability, please advise us of the following, by phone, fax, or e-mail at least one week prior to your camp:
Confirmed number of people attending camp
Your expected time of arrival
Days on which a cut lunch would be required
Any special menu/diet requirements
A copy of your programme
Areas where a staff member is needed (e.g. tramp guide)
Health & Safety Risk Analysis Management Systems (RAMS) forms for activities are available on request.
RULES AROUND CAMP
Yes - there are some rules around camp. You will find it helpful to read through these:
1. That a table grace be said before all meals (by camp staff, group adult or child).
2. That NO alcoholic beverages or illegal drugs be brought onto the property.
3. There be NO smoking in any of the buildings.
4. ALL ACTIVITIES TO BE SUPERVISED BY ADULTS, FOLLOWING INDIVIDUAL ACTIVITY GUIDELINES.
5. All gates to be left as found to protect stock movements. Some fences are electrified.
6. The general hygiene and cleanliness of the building to be maintained by the group using the facilities and to be left clean and tidy when vacating. Should the facilities not be left in the same conditions as on arrival, a cleaning surcharge will be incurred.
7. THE AREAS AROUND AND BEHIND THE STAFF HOUSES AND THE WORKSHOP ARE OUT OF BOUNDS.
8. The camp staff will give a talk on the history of the camp and God's provision. We would be happy to give a more comprehensive Christian programme if requested (including games and bible stories).
9. Damages to sports gear, buildings, equipment, etc will be charged to your account.
10. Camp fees to be paid in full before leaving camp.
11. No pets are allowed.
12. Consideration of other people's property plus noise control after 11pm be exercised.

When we receive this information, we will reply letting you know whether those dates are available and supply a quote, or suggest an alternative date. At that stage a phone call from you is all that is needed to confirm a PENCIL BOOKING. A pencil booking means that we would contact you and give you first option if someone else expressed interest in the same dates as you.
A completed booking form and deposit will secure those dates for you.
